Catering Office operating hours and business day imply Monday to Friday 10:00 to 18:00 (P.S.T.) All references in this document to The Vancouver Club include its Society, Board of Directors, Management and its Property.
GENERAL VANCOUVER CLUB AND CATERING POLICES
The Vancouver Club’s dress code policy is smart casual. Jeans, denim of any colour, cargo pants and all athletic wear are not permitted.
Electronic devices,cell phones, PDA’s and computers,are not permitted outside of your booked room(s).
The Vancouver Club adheres to all operating guidelines set forth by BCLDB such as:
It is strictly prohibited to bring alcoholic beverages onto the premises.
We reserve the right to refuse the service of alcohol at anytime.
Alcohol service hours:
Monday – Saturday: 11:00 – 00:30 (P.S.T.)
Sunday and Holidays: 11:00 – 23:30 (P.S.T.)
No food and beverage is to be brought onto or taken from the premises.
*Some exceptions with pre approval, please inquire (surcharges may apply). The Vancouver Club assumes no liability for all food and beverage consumed at the event, if any food and beverage items are brought onto or taken from the premises.
All decorating plans of the Convenor, guests and suppliers must be pre-approved by The Vancouver Club. The fastening of any materials to any surface of The Vancouver Club is strictly prohibited. Confetti or similar materials are not permitted inside or outside on the property of The Vancouver Club.
Convenor and suppliers will have access to booked rooms(s)Â one hour prior to scheduled start time.

CATERING DETAILS AND GUEST ATTENDANCE GUARANTEE
Catering details and signed Catering Event Order must be received 10 business days prior to event. This is to include:

*Special requests require 14 business days and is subject to availability.
Room Set Up and Audio/Visual Requirements.
Decor Arrangements
*some arrangements require more notice, please inquire.
Guaranteed Guest Count must be received 3 business days prior to the event and confirmed by email or fax byThe Vancouver Club.
*Final Invoicing is based on Guaranteed Guest Count or Actual Guest Attendance, whichever is greater.
ALLERGIES
If any guest in your event, have food allergies: the Convenor shall provide The Vancouver Club with written details in of the nature of the allergies, names of guests and their seated location in writing.
*Failure to provide any or all of this information, you shall indemnify and hold us forever harmless from and against, any and all liability or claim of liability for any personal injury.
APPLICABLE TAXES, SERVICE FEE AND SOCAN FEE
*applicable tax and service fees are subject to change
Food and Beverage: 12% HST+18% Service Charge
Catering Event Room, Audio Visual Equipment, Contracted Services, Service Fee, SOCAN Fee: 12% HST
Hotel Room: 12%
HST + 2% Hotel Tax
SOCAN The Society of Composers, Authors, and Music Publisher of Canada: Applicable to all events where live or recorded music is played.

LABOUR FEES
The Vancouver Club does not charge labour fees (separate from service fees) except in the following instances:
Cashier (required for Cash Bar)
Coat Check Attendant
Statutory Holiday Labour Fees
Requested Additional Labour
EVENT CANCELLATION
Event cancellation policy is provided with your Catering Event Agreement.
DELIVERIES
The Vancouver Club is pleased to receive and assist in the handling of light packages.
The Vancouver Club assumes no responsibility for any items of the Convenor, guests and suppliers of your event.
We are unable to accept shipments earlier than one business day prior to your event.
All items/packages must be removed from The Vancouver Club immediately following your event.
Please co-ordinate the arrival of and pickup of items for your event with your Vancouver Club representative. Failure of notification will result in the return of items at the expense of the original sender.
All packages are to be labeled and include; name of the event, Convenor name, date of event, Vancouver Club representative and total number of boxes.
The Vancouver Club will not accept deliveries via the front entrance. Deliveries will only be accepted at the Cordova St. entrance (no street address), located via the first laneway on your right, travelling east on Cordova from Burrard.
*There is a discreet ‘Vancouver Club’ sign located on rear of the building.
PARKING
Valet parking is available for Vancouver Club Members with membership cards.

There are numerous self-parking facilities located near The Vancouver Club. One option available is
Easy Park, located at 900 W Cordova. For more information regarding

Easy Park is an independent company, and therefore The Vancouver Club assumes no liability whatsoever for use of

COAT ROOM
Our self-serve coatroom is located on the main floor.
*Coat Check Attendants may be arranged; please contact your Vancouver Club representative.
